The message landed in June.

By Ankur Bagga, Founder, Proposal Dubai

A daughter in Lagos wanted to throw her father a birthday he would talk about for years. Not in Lagos. In Dubai. For 100 guests. Over three days.

That meant three events and three very different builds: a beach soirée under the skyline, a private yacht with jet skis, and a desert gala dinner as the centrepiece. Here is how we put it together, what it really cost, and what I would tell any family planning something similar.

The celebration at a glance

The brief

Our client was the celebrant’s daughter: a busy professional juggling her parents, a family friend on the ground in Dubai and a full-time job of her own. Every quote travelled from my desk to Lagos, through the family WhatsApp group, and back with her father’s notes on it. Lagos sits three hours behind Dubai, so a quick yes could take a few days.

Four things were non-negotiable:

  • A clear line for the desert night. AED 100,000 for the core gala production.
  • Food that felt like home. A Nigerian caterer for the main meal, and pepper soup on the menu. No exceptions.
  • Comfort for every generation. The elders needed proper seating. The younger crowd wanted a party, not a banquet.
  • No logistics headaches. 100 guests moving between three venues without anyone checking a map.

Day 1: The beach soirée

The first-choice beach was closed. The second wanted a buyout.

The family’s favourite beachfront restaurant was shut for renovation until mid-September, and its buyout estimate for 100 guests came in above AED 150,000. A resort beach facing the Burj Al Arab priced the same way. That was for the venue alone, before a single light or speaker.

So I went to a private beach deck we work with often, with an uninterrupted view of the Dubai skyline. For AED 100,000 the family got the venue, a three-hour open bar, a buffet dinner, décor, lighting and sound in one package. Their DJ added AED 5,000. That is what a venue relationship is worth. Before anyone in Lagos committed a dirham, I walked the family friend through both shortlisted venues in person.

I also asked the venue for something that was not on any menu: permission to serve pepper soup. They said yes. When I passed that on, the reply from the family came back in four words: “Now that’s a present.”

The permit nobody warns you about

The deck sits inside a Nakheel community, so the event needed a Nakheel permit on top of the venue booking. Approval is not automatic. It depends on the type of event, the expected noise levels and the logistics. Then comes the real catch: suppliers and vendors can only get in to set up between midnight and 6am.

So the build happened overnight, while the community slept. By the time two 50-seater coaches pulled up that evening, the deck looked as if it had always been dressed that way.

Day 2: The yacht

The daughter’s brief for day two was one word: wild.

We chartered a private yacht for six hours at AED 60,000, then added three jet skis at AED 600 each per hour for the guests who wanted to be on the water, not just looking at it.

Catering for 100 covered three cuisines on one deck: Nigerian dishes, an Arabic spread and canapés, AED 30,000 in total. The family brought their own drinks, so we put three professional bartenders on board for the full six hours at AED 1,000 each. Their Nigerian DJ took the decks.

The middle day of a long celebration is where the energy either dips or peaks. This one peaked.

Day 3: The desert gala dinner

The first desert quote came back with setup costing more than the camp itself.

That is normal in the desert, and it is exactly the line a client’s father circles. The camp’s own furniture did not match the family’s vision, and importing everything would have blown the budget. So we redesigned the build instead of trimming the experience:

  • The camp’s own Arabian furniture became a majlis lounge in deep reds in front of the stage. Authentic, and nothing to import.
  • Proper dining seating for the elders. The majlis was for the ones who wanted to lounge, never the only option.
  • Décor money went where the cameras look: the entrance, the stage backdrop, and a canopy of fairy lights over the dining tables, like a second sky.
  • The falcon show and a second performer came out. A magician stayed to work the tables.

When the family asked to cut the Arabic buffet from 100 covers to 40, I told them honestly it would barely change the number. In the desert, equipment and staff cost more than the food. They kept the full spread.

When they hesitated over some of the camp’s furniture, we upgraded the key pieces and added a new welcome photo backdrop ourselves. The look mattered more than the line item.

The core gala landed at AED 99,000 + VAT. Inside the line.

Then they saw it

Midway through planning, the celebrant’s mother grew anxious. She needed to see it, not read about it. We produced AI-assisted visual mock-ups of the gala and walked both parents through them on a Google Meet call. The mood of the whole project changed in one meeting.

And once they could picture it, they wanted more. The family chose to go past the AED 100,000 line, adding an upgraded dining setup, a canapé reception served while the Nigerian caterer prepared the main feast, and more besides. Their call, made with every dirham in view.

On the night, the canapés were teriyaki chicken skewers, sweet chilli prawn bites, wild mushroom and parmesan pastries, whipped feta and beetroot crostini, and mini caprese skewers. The family’s DJ had arrived with only a controller, so full sound, speakers, truss and party lighting were built into our production from the start and tested long before the first guest walked in. A photo and film team captured all three days.

The leaning tower of cake

No event is ever 100% perfect. Neither was this one, but only at the very last minute.

We had designed a three-tier birthday cake, a different flavour in each tier, and had it driven out to the desert. Then we made a rookie mistake. We didn’t open the box after the drive. In hindsight, we should have checked it the moment it arrived and moved it straight into air-conditioned storage.

At the cake reveal, all three tiers were leaning like the Tower of Pisa. I was mortified. Three days of perfect events, and a fiasco in the final hour.

I went straight to the client and told her exactly what had happened. By then we had become friends. She just shrugged and said, “It’s fine.” The weight that had been dragging me into the sand beneath my feet simply vanished.

To this day, every photo of the celebrant and his guests with the cake, centre stage on its golden stand, shows it tilting gently to the right. You can’t make this up.

The lesson: whatever travels to the desert gets opened and checked the moment it arrives.

What it actually cost

Transparency builds trust, so here are the real numbers from this celebration.

The family supplied their own drinks for the yacht and their own DJ throughout.

The biggest decision of the weekend was the beach. The buyout quotes started above AED 150,000 for an empty venue. Our package came in at AED 100,000 with the bar, dinner, décor and production already inside it.

The outcome

Three events, three days, 100 international guests, all produced by one team. The budget only moved when the family chose to move it, and the photos and films were with them within the week.

If you are planning something like this from abroad, the lesson is simple. The things that derail a destination celebration (venue closures, permit rules, buyout pricing, a DJ who arrives with just a controller) are invisible from Lagos, London or anywhere else. They need to be solved in Dubai before the family ever hears about them.

常见问题

How much does a three-day celebration for 100 guests cost in Dubai?

This one came to more than AED 300,000 across three events: about AED 105,000 for the beach soirée, AED 93,000 for the yacht before jet skis, and AED 99,000 + VAT for the core desert gala before the family’s additions. Venue choice moves the number more than anything else.

How much does a desert gala dinner for 100 guests cost in Dubai?

Typically AED 95,000 to 140,000, covering venue, Arabian décor, stage, sound, lighting, entertainment and staff. Setup and production usually cost more than the camp hire itself, so design decisions matter more than venue negotiation.

How much does a private yacht party for 100 guests cost in Dubai?

For this celebration: AED 60,000 for a six-hour charter, AED 30,000 for catering across three cuisines, and AED 1,000 per bartender. Jet skis were AED 600 each per hour.

Can we bring our own drinks on a yacht in Dubai?

On many private charters, yes. This family brought their own, and we supplied professional bartenders so nobody had to serve themselves. Confirm the policy with the operator before you book.

Can we bring our own Nigerian caterer or cultural dishes?

Often, yes. Many Dubai venues allow outside caterers, and some will approve signature dishes like pepper soup if you ask in advance. A planner who knows which venues say yes saves you outside-catering fees and surprises.

Do you need a permit for a beach event in Dubai?

Inside managed communities such as Nakheel developments, yes, on top of the venue booking. Approval depends on the type of event, noise levels and logistics, and suppliers can usually only set up between midnight and 6am. Build both into your timeline.

Can we bring our own DJ?

Absolutely, but confirm what they are bringing. A DJ travelling with just a controller needs sound, speakers, truss and lighting provided, and that should be costed into production from day one, not discovered at soundcheck.

How far ahead should we plan a destination celebration in Dubai?

For 100 international guests across several events, allow 12 to 20 weeks. This one ran about 16 weeks from first message to first event, including permits and a staged payment plan.
